HOW EARLY SHOULD YOU START PLANNING A SPRING FORMAL?
Spring formal might not be until March or April, but waiting until spring to start planning it is one of the easiest ways to limit your options. For most groups, the best time to start planning is during the fall semester. That doesn't mean every detail needs to be finalized months in advance. It means getting the important pieces dates, budget, destination, and hotel moving early enough that your chapter still has choices.
5–7 Months Out: Start With the Big Decisions
September through November is a great time to start planning a March or April formal. Begin by figuring out your expected group size, approximate budget per person, preferred dates, and a shortlist of destinations.
You don't need an exact headcount yet. If you normally travel with around 150 people, that's enough to begin looking at options.
This is also when flexibility can help the most. Instead of locking yourself into one city on one weekend, consider a few destinations and dates. Hotel rates and availability can change significantly from one weekend to another, especially around spring break, festivals, sporting events, conventions, and other large events.
4–5 Months Out: Secure the Hotel
Once you've narrowed down the destination and dates, the hotel should become one of the biggest priorities.
A group needing 30, 40, or 50 rooms per night has very different options than a group booking a few rooms for a weekend. The longer you wait, the more likely it is that hotels with the right combination of location, room types, availability, and price are already committed to other groups.
Don't look only at the nightly room rate, either. Taxes, fees, occupancy limits, deposits, cancellation terms, attrition, and the hotel's location can all affect what the trip actually costs.
1–2 Months Out: Finalize the Details
As the trip gets closer, planning should shift from finding options to confirming details.
This is when you'll typically be working through final attendance, room assignments, transportation schedules, event times, payment deadlines, and any information travelers need before departure.
It's also the time to make sure everyone understands what is and isn't included. A clear final itinerary can eliminate a lot of last-minute questions.
So, When Should You Actually Start?
For a typical March or April spring formal, starting in September, October, or November isn't too early. In many cases, it's exactly when you should begin.
You can still plan a great trip on a shorter timeline, but starting early gives your chapter something valuable: options. More hotel choices, more destinations to consider, more venue availability, and more time to compare the overall trip instead of taking whatever is left.
When you travel with OTC Trips, we help your group source the hotel, transportation, venues, activities, and other trip logistics so your social chair doesn't have to coordinate every piece separately.
